BEST PRACTICE: Handling Staff and Volunteer Departures

VIDEO: Grow Revenue & Simplify Signup with Custom Forms

How to handle staff and volunteer departures

When staff or volunteers who serve as Doubleknot administrators leave your organization, remember to downgrade the permissions for their Doubleknot accounts.

Staff and volunteers will often remain affiliated with your organization after their employment or volunteer service ends. For example, departing zoo or museum employees may still be members or plan to register for camps and events after their employment ends. In scouting organizations, staff, leaders and volunteers (and their families) frequently continue participating in council activities.

In cases like these, you can choose to maintain the account (and its associated registrations, reservations, memberships, etc.) and simply remove the person’s administrator privileges for your organization. So, when personnel leave, remember to take care of the following in Constituent Management:

  • Remove the account’s administrator permissions
  • Remove the account from administrative groups
  • Unsubscribe the account from administrative mailing lists

When you assign another person to handle their Doubleknot administration tasks, contact us at support@doubleknot.com to arrange training to bring your new administrator up to speed.
